HOW DO I BECOME TAX EXEMPT
Due to the United States Supreme Court ruling in South Dakota v. Wayfair effective in January of 2019, We are required to collect sales tax in many states even if we do not have a physical presence in the state.
REGISTERING YOUR EXEMPTION DOCUMENTS WITH US:
- Find your state here. If there is a form listed, please fill it out and sign.
- Email the state-specific document from the first step to our email - tax@deepsouthfragrance.com.
- Once we have received your submission, we will validate it with your state. We will be in touch through the email address associated with the submission regarding your tax-exempt status. Please note: You are not tax-exempt with us until you receive an email confirmation. Processing times are 1-2 business days.

HOW LONG IS YOUR PROCESSING TIME
Processing times vary. We process all orders as they are received. Sales and holidays can increase orders and therefore our processing times. Processing times do not include shipping times.
CAN I CANCEL OR CHANGE MY ORDER
Our order change policy is as follows:
Changes can only be made within the first 24 hours after an order is placed. Cancellations in the first 24 hours will be refunded. Cancellation requests after 24 hours will be issued a store credit.
We have this policy in place to ensure your order is processed in a timely manner and that it is processed properly.
WHY DID MY ORDER ARRIVE IN MULTIPLE PACKAGES
We currently have 2 warehouses. While we do try to ensure that everything does ship together, it is possible that orders will come from multiple locations.
WHAT IS YOUR RETURN POLICY
Deep South Fragrance stands behind the products we sell. If you're in any way unsatisfied with your order, we'll do everything we can to make it right. If you still need to return anything, we offer a hassle-free thirty (30) day return option on all products.
If a product is not defective and simply unwanted, we'll happily refund the amount of product in the form of a store credit. Product must be unused and returned in the same condition it was received. You will be responsible for shipping the item(s) back to us.
If a product is defective, we'll refund the purchase price or send a replacement.
MY PRODUCT ARRIVED DAMAGED. WHAT SHOULD I DO?
If a product arrives damaged, please email us within 7 days. We will then process a damage claim. Once we process your damage claim, we will immediately send a replacement to you.
Tips for expediting your damage claim:
- Always include a photo showing the damaged item.
- If the damage impacts an item with multiple pieces, like a case of containers, let us know how many pieces remain usable.
- In the event of a fragrance leak, please weigh the fragrance bottle (including the lid) on the lb/oz setting of your scale and include the weight with your submission.

We are diligently working to ensure that all of our fragrance oils are Phthalate Free, Prop65 Compliant and even making sure they don't contain potentially hazardous ingredients as identified by OSHA by May 2025.

ARE YOUR FRAGRANCE OILS VEGAN AND CRUELTY-FREE?
Our fragrances are cruelty-free and vegan-friendly. We never test on animals and support cruelty-free alternatives to all animal testing.
Our fragrance oils are composed of natural and synthetic ingredients. To comply with global and legislative requirements, none of our finished products, including fragrance oils, are tested on animals by us or our suppliers.
WHAT ARE PHTHALATES?
Phthalates, or phthalate esters, are esters of Phthalic acid. They are used to dissolve raw materials when making fragrance oils. They have been used for many decades in a myriad of pharmaceuticals, household, and industrial products. Recently, there have been concerns that high levels of Phthalates can cause a host of health issues. It is not clear whether the levels that people encounter cause adverse effects, but it is clear to us that products would be better if they didn’t pose any such risks.
While both the U.S. and Europe have imposed laws against Phthalates in children’s toys, (since they are put in the mouth) there are no rules against Phthalates in candles. Nevertheless, We are currently working on completely eliminating Phthalates from any of our products.
HOW LONG WILL A FRAGRANCE OIL LAST?
The average shelf life of fragrance oil is about one year. It is dependent on time, temperature, and exposure to air and light. For best results, we suggest purchasing only enough fragrance that you will use within 6 months to a year.
Another variable is the shelf life of the raw materials used to make up the fragrance. If there are more natural ingredients in the formula, it can spoil more quickly. We recommend that you store fragrance oils in a cool dark place away from light and heat. In case you need to let the oils sit for over one year, we recommend testing each fragrance in a candle before making a large batch.
I WANT TO START A FRAGRANCE DUPLICATION. WHAT IS THE PROCESS?
The process is pretty simple.

- Submit at least the minimum product sample required for duplication. For a list of acceptable samples and minimums refer to the list below.

Please allow 4-6 weeks from start to finish for the duplication process to be completed.

WHY IS MY FRAGRANCE OIL BOTTLE NOT FULL?
Our fragrance oil bottles are filled by weight, not volume.
Fragrance oils vary in density, which means some are thicker and some are thinner than others. Instead of filling our bottles to make them look full, we fill them to accurately reflect the weight listed on the label. Thick (or dense) essential oils typically have a lower fill line, while the fill line of thin essential oils is higher. The fill level variation is minimal in 2 oz bottles and more noticeable in larger weights.
Always weigh products when making candles, soaps, and other body care products. Avoid measuring fragrance oils by drops or with measuring cups or spoons, because those methods measure volume instead of weight.
